Workflow Rules are a set of actions (email notifications, tasks and field updates) that are executed when certain specified conditions are met.

Create Smart Notifications

The steps to create a workflow rule are divided into 4 steps.

Step 1: Enter basic details of the rule

  1. Go to Setup > Automation > Workflow Rules.


  2. In the Workflow Rules page, click Create Rule.

  3. In the Create New Rule  pop-up, do the following:

    • Select the Module to which the rule applies from the drop-down list.

      - Contacts: select this module if the trigger is inside the Contact's information. For example sending an email on the Contact's Jewish Birthday.
      - Reminder Dates: select this module if the trigger is inside a Reminder Date associated to a contact. For example sending an email on a Yahrzeit, Anniversary or Jewish Birthday.


    • Enter the Rule Name and Description.

  4. Click Next 

Step 2: Specify the rule trigger

  1. When: Select On a Date/Time

  2. Execute: Enter the following to specify when you want the rule to be triggered.

    • Specify the  Days ,  Hours  or  Minutes  when it should be executed.

    • Choose On, Before or After from the drop-down list

    • Date: Select Reminder Date


  3. Execute at: Click the Specify Time of Execution  link and choose the time. 

  4. Recur: Select Once from the Recur drop-down list.

  5. Click Next.

Step 3: Create a workflow condition and select an instant action

 Choose one of the following:

  1. If in Step 1 you selected the module Reminder Dates, then clcik Reminder Dates matching certain conditions​.

    • Select: Type of Date from the drop-down list.

    • Select: is from the drop-down list.

    • Choose the Type of Date to be triggered in this workflow. It can be Birthday, Anniversary, Yarzeit.


  2. If in Step 1 you selected the module Contacts, then select All Contacts.

Step 4: Select an Instant Action

  1. Select: Email Notification

  2. Choose the Template to be associated with this workflow.
    You must have a template created before creating this workflow. To create a new one go to Setup, Templates.

  3. Click Save.
